Major responsibilities:
• Answering phone calls;
• Ordering tickets and hotel services;
• Managing the catering service;
• Booking drivers for guests and maintaining the driver’s log book;
• Monitoring visitors’ arrivals;
• Arranging official meetings in conference rooms;
• Assisting Ukrainian employees in Shengen and other visa processes;
• Managing company correspondence;
• Translation of documents, letters, contracts, notary papers etc.;
• Keeping the stationary records for the office;
• Keeping inventory and making weekly orders of kitchen supplies;
• Managing the front door pass card system and database;
• Assisting foreign staff in Ukraine on day-to-day matters when required;
• Assisting the Office Manager.
We require:
• Excellent English skills (both written and verbal)
• Advanced PC skills
• A strong personality, effective communication and interpersonal skills, excellent work planning skills, service orientation and problem-solving focus; ability to cope with multitasking; accepting routines; attention to detail; eager to work
• Higher education (major in English linguistics/translation preferred)
• Ability to work full time
• Experience as a secretary a plus
